These Terms and Conditions apply to photography, cinematography, and related wedding services provided by Luna Wedding Films to the individual(s) booking the services (“Client”).
By submitting the required deposit, the Client acknowledges that they have read, understood, and agreed to these Terms and Conditions.
1. BOOKING & ACCEPTANCE
A 30% deposit of the total package price is required to reserve the Client’s wedding date and secure the Studio’s services.
The Studio voluntarily provides the Client with a 24-hour cancellation period beginning at the time the deposit is submitted. If the Client cancels in writing within this 24-hour period, the deposit will be fully refunded.
After the 24-hour cancellation period has expired, the 30% deposit becomes non-refundable and these Terms and Conditions remain in effect. A wedding date is not considered officially reserved until the required deposit has been received.
2. PAYMENT
The remaining balance is due 7 days before the wedding, unless otherwise agreed to in writing.
When prior arrangements have been approved by the Studio, the remaining balance may be paid on the wedding day. In all cases, the full balance must be received no later than the day of the wedding. If the required balance is not received by the agreed deadline, the Studio reserves the right to suspend or cancel services, and the 30% deposit will remain non-refundable. Any additional services, coverage hours, travel expenses, or upgrades requested by the Client may require additional payment.
3. CANCELLATIONS & REFUNDS
If the Client cancels the wedding or contracted services more than 30 days before the event, the 30% deposit will remain non-refundable. However, any additional payments made toward the remaining balance will be refunded.
If the Client cancels within 30 days of the event, all payments made are non-refundable.
All cancellation requests must be submitted to the Studio in writing.
If the Studio is unable to provide the contracted services due to illness, emergency, or other unforeseen circumstances, the Studio will work with the Client to provide a suitable professional alternative when available.
If a suitable alternative cannot be provided or accepted, the Client will receive a full refund of all payments made, including the deposit.
4. RESCHEDULING
If the Client needs to reschedule the wedding, the Studio will make reasonable efforts to transfer the booking and payments to the new date, subject to availability. A new date is not guaranteed until confirmed in writing by Luna Wedding Films
If Luna Wedding Films is unavailable for the requested new date, the applicable cancellation policy will apply.
Changes in location, coverage time, package, travel requirements, or services resulting from a rescheduled event may be subject to additional charges.
5. SERVICES & COVERAGE
The photography and/or cinematography services provided will be based on the package selected by the Client and the services described in the booking agreement or invoice.
Coverage begins and ends at the times agreed upon between the Client and Luna Wedding Films.
The Studio is not responsible for coverage lost as a result of delays caused by the Client, wedding party, venue, transportation, ceremony delays, other vendors, or circumstances outside the Luna Wedding Film’s reasonable control.
Additional coverage requested beyond the contracted time will be subject to availability and may incur additional fees.
6. EVENT SCHEDULE
The Client agrees to provide and confirm the final wedding-day schedule, locations, and important event details at least one week before the wedding.
Any changes to the event schedule, ceremony time, reception time, locations, or coverage requirements should be communicated to the Studio as soon as possible.
Whenever possible, significant last-minute changes should be communicated at least 72 hours before the event.
Luna Wedding Films cannot guarantee coverage of activities, moments, or locations that were not included in the confirmed schedule or were changed without sufficient notice.
7. TRAVEL EXPENSES
Travel expenses are calculated based on the distance between Luna Wedding Films and the event location(s).
The first 35 miles roundtrip are included in the contracted services.
Travel beyond the included mileage may be subject to an additional travel fee, which will be disclosed and agreed upon before the event.
Additional travel-related expenses, including tolls, parking, airfare, lodging, transportation, or other necessary travel costs, are not included unless specifically stated in the selected package or agreement.
Events requiring significant travel or overnight accommodations may require additional arrangements and fees.
8. VENUE & LOCATION LIMITATIONS
Luna Wedding Films, must comply with all rules, policies, and restrictions established by venues, churches, officiants, event coordinators, property managers, or other authorized officials.
These restrictions may include limitations involving:
- Photography and video locations
- Camera placement
- Lighting equipment
- Flash photography
- Audio equipment
- Drone operation
- Movement during ceremonies
- Access to certain areas
- Setup and breakdown times
The Client acknowledges that such restrictions may affect the final photographic or cinematic results.
Luna Wedding Films will provide professional recommendations when possible, but negotiating venue rules or obtaining exceptions is the Client’s responsibility.
9. PERMITS & PERMISSIONS
The Client is responsible for obtaining any permits, venue approvals, property permissions, or other authorizations required for photography, cinematography, drone operation, or related services at the selected location(s).
Luna Wedding Films is not responsible for coverage that cannot be completed because required permissions or permits were not obtained.
Drone services, when included, are subject to weather conditions, location restrictions, safety considerations, and applicable rules and regulations.
10. EVENT CONDITIONS & CIRCUMSTANCES BEYOND OUR CONTROL
Luna Wedding Films will make every reasonable effort to provide the services agreed upon.
However, Luna Wedding Films cannot be held responsible for circumstances beyond its reasonable control that negatively affect photography or cinematography, including severe weather, restricted access, venue limitations, inadequate lighting conditions, delays, unexpected schedule changes, interference from guests or other vendors, or restrictions imposed by event officials.
Luna Wedding Films cannot guarantee that every guest, activity, decoration, interaction, or moment of the wedding will be photographed or recorded.
11. CREATIVE & ARTISTIC STYLE
The Client acknowledges that they have reviewed Luna Wedding Film’s portfolio and are familiar with its photography, cinematography, editing, color grading, composition, and storytelling style.
Luna Wedding Films maintains professional creative discretion regarding camera placement, composition, lighting, image selection, editing, sequencing, color correction, retouching, music selection where applicable, and the overall artistic presentation of the final work.
Requests that significantly differ from Luna Wedding Film’s established creative style may require additional editing fees.
12. DELIVERY
Final wedding photographs and/or films will generally be delivered within approximately 4 to 6 weeks following the wedding, unless a different delivery timeline is specifically included in the selected package.
Delivery timelines may vary depending on the services included in the package, the scope of the event, and any additional products or revisions requested by the Client.
Final content will be delivered digitally through the method specified by Luna Wedding Films, which may include a private online gallery, digital download, or online video delivery.
Albums, prints, or other physical products, when included, may have separate production and delivery timelines.
13. EDITING & REVISIONS
All delivered photographs and films will receive the professional editing included with the Client’s selected package.
Additional revisions, advanced retouching, re-editing, or changes requested after delivery that are outside the original package may be subject to additional fees.
Luna Wedding Films is not required to provide unedited photographs, RAW image files, unedited video footage, project files, or other original production files unless specifically included in the Client’s package or agreed to separately in writing.
14. COPYRIGHT & PERSONAL USE
Unless otherwise agreed to in writing, Luna Wedding Films retains the copyright and ownership rights to the photographs, films, and other creative works produced as part of the contracted services.
The Client receives a personal-use license for the final delivered photographs and films.
The Client may download, print, share, and post the delivered content for personal and social-media use.
The Client may not sell, license, commercially distribute, reproduce for commercial purposes, or otherwise commercially exploit the Studio’s work without prior written permission.
15. PORTFOLIO & PROMOTIONAL USE
The Studio reserves the right to use selected photographs, video footage, and completed films from the event for professional and promotional purposes, including:
- Website
- Portfolio
- Social media
- Advertising
- Promotional materials
- Wedding showcases
- Studio samples
If the Client does not wish to have their wedding photographs or video used for promotional purposes, the Client must notify Luna Wedding Films in writing before the wedding date.
16. EQUIPMENT OR FILE FAILURE
Luna Wedding Films uses professional equipment and takes reasonable precautions to protect captured content.
In the unlikely event of equipment failure, media corruption, file loss, technical malfunction, or another unexpected technical issue, Luna Wedding Films will make reasonable efforts to recover or restore the affected material whenever possible.
If a substantial portion of the contracted services cannot be delivered due to a technical failure attributable to Luna Wedding Films, LWF and Client will work in good faith to determine an appropriate resolution based on the circumstances and the portion of services affected.
17. FORCE MAJEURE
Neither Luna Wedding Films nor the Client will be considered in breach of this agreement when performance is prevented by extraordinary circumstances beyond reasonable control, including natural disasters, severe weather emergencies, government restrictions, venue closures, major transportation disruptions, or other comparable events.
When reasonably possible, both parties will work together to reschedule the services or determine an appropriate alternative solution.
18. LIMITATION OF LIABILITY
Luna Wedding Films will exercise reasonable professional care in providing the contracted photography and cinematography services.
To the extent permitted by applicable law, Luna Wedding Film’s total financial liability arising from the contracted services will not exceed the total amount actually paid by the Client for the affected services.
Nothing in these Terms and Conditions is intended to waive rights or obligations that cannot legally be waived.
19. CHANGES TO SERVICES
Requests for additional services, additional photographers or cinematographers, extended coverage, additional locations, special editing, albums, prints, drone services, or other upgrades may result in additional fees.
Any material changes to the original services should be confirmed in writing by both the Client and Luna Wedding Films.
20. ENTIRE AGREEMENT
These Terms and Conditions, together with the Client’s selected package, invoice, booking confirmation, and any written amendments, constitute the agreement between the Client and Luna Wedding Films regarding the contracted wedding services.
Any changes or exceptions must be agreed upon in writing.
If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions will continue to remain in effect to the extent permitted by law.
